The International Christian University School Juridical Person: Policy on the Protection of Personal Information

The International Christian University School Juridical Person (The Juridical Person) is founded on a respect for each individual's character; insomuch as, this School sets forth the following policies, recognizing the importance of personal information, taking particular care in its handling, and actively working towards its protection.

1. Observance of regulations pertaining to personal information


In the handling of personal information, the Juridical Person shall observe the "Laws Pursuant to the Protection of Personal Information" (herein referred to as "Protection Laws" ), direction of the Ministry of Education and other related regulations.


2. Collecting personal information


In collecting personal information, the Juridical Person shall, in addition to making clear its intended use, collect personal information through just and fair means.


3. Using personal information


Within the bounds of the intended use, the Juridical Person shall use collected information for the accomplishment of such necessary administrative duties.


4. Maintaining personal information


The Juridical Person shall take necessary and just steps to ensure the safe and correct management of personal information. In cases where the handling of collected personal information is entrusted to outside groups, necessary and just supervision will be provided for the safe management of the related personal information.


5. Furnishing personal information to third parties


Excepting situations outlined in the Protection laws, personal information will not, on principle, be provided to third parties without advance consent from the individual whose personal information is concerned


6. Release, correction and ceasing use of personal information


The Juridical Person shall within reasonable limits respond in a timely manner to requests from individuals to cease in the release, correction and use of their personal information.


7. Organization, structure


For the protection of personal information, the Juridical Person shall maintain an internal system of management and subsequently conduct continuous inspections. Also, in order to insure the just treatment of personal information, the Juridical Person shall adopt policies for the continual training of faculty and staff.

International Christian University's Fundamental Stance on the Protection of Personal Information

The International Christian University (ICU) is founded on the principles expressed in the Universal Declaration of Human Rights and as such, for the protection of human rights and respect of the individual, ICU recognizes the need to be careful in its handling of personal information. In modern society where the information age is progressing rapidly, the treatment of accumulated information is becoming a matter of vital importance. Together with the April 1, 2005 enactment of the 'Laws Pertaining to the Securing of Personal Information,' and towards the objective of contributing to personal safety, please find below ICU's fundamental stance on dealing with personal information.


1. To conform with the 'Laws Pertaining to the Security of Personal Information,' ICU will establish basic policies as regards the treatment of personal information in our possession.


2. In accordance with these policies, ICU will endeavor to draw up necessary regulations and enforce the proper securing and management of personal information.


3. Regarding the use and sharing of personal information, ICU will limit its requests for personal information to that which is absolutely necessary for conducting the business of the university. Moreover, ICU will not make information available for any outside purposes or to any third party, except in instances mandated by law and/or without the express consent of the related individual.

Purpose for the Use of Personal Information


ICU makes use of personal information for the following purposes relating to:

1. Students (includes credit auditors, non-credit auditors and kenkyu-sei,etc.):
・Registration, managing student records, managing student grades, graduation and other class-related administration
・Production of various forms of certification
・Providing research and reports to organizations such as the Ministry of Education
・Scholarships, school life, welfare programs
・International programs such as study abroad and language study
・Student exchange and activity
・Use of facilities
・Career guidance
・Healthcare
・Commencement and other ceremonies
・Sending documents related to the paying of tuition
・Requests for cooperation with University publicity
・Alumni and JICUF activities (sharing information with the Alumni Association and JICUF)


2. Graduates:
・Production of various forms of certification
・Providing research and reports to organizations such as the Ministry of Education
・Use of facilities
・Requests for cooperation with University publicity
・Alumni and JICUF activities (sharing information with the Alumni Association and JICUF)


3. References:

・Providing research, reports and charter applications to organizations such as the Ministry of Education

9. General staff (includes part-time staff and persons related to their employment):
・University operations

・Use of facilities
・Application for subsidies
・Providing research and reports to organizations such as the Ministry of Education


10. Groups external to the University
・Operation of University events
・Explanation of housing to students
・Entrusting duties

Furthermore, in addition to the above, information will be used for processing necessary matters pertaining research, educational activities, and other management and operation of the university such as, @sending documents from the University regarding school events and school publicity, Arequests for fundraising and financial support, and Bcontact from the university.


Making personal information available to external organizations

ICU makes a part of the personal information received from students available to the ICU Alumni Association and JICUF for the purpose of creating name lists and sending reports and other related documents. Any person wishing to be excluded from this exchange of information should make this wish known to the General Affairs Group of the General Affairs Division. Such requests shall be addressed where possible and in a timely manner. In order to ensure the just management of such exchanged information, ICU is requesting both the Alumni Association and JICUF to adopt the same measures for the protection of personal information.

Requesting the release of personal information

Requests for the release of personal information should be made to desks of the following offices. Please contact them for further details.

1. For enrolled students and graduates: Educational Affairs Division, Student Services Division


2. Full and part time faculty and staff: Personnel Division

It is also possible to request the release of personal information from other divisions.
