For Counselors and Recommenders

Thank you for your support for students applying to our undergraduate program.
Please follow the steps below to submit the required supporting documents.

1. Prepare the required documents

Prepare the required documents listed below to support the student's application to ICU:

-  Official Transcript
Applicants must request that their school(s) submit official transcripts of secondary education; transcripts must be the most recent available and cover at least three academic years, including the final (senior) year, otherwise they may be considered incomplete.

ICU School Report provides supplementary information regarding the applicant's academic performance and school background. It is a mandatory document required and must be submitted alongside Official Transcript. Applicants must request their school counselor to submit the ICU School Report.

- Required Documents by Educational system
The Required Documents by Educational System refer to a set of documents used to confirm both the completion of senior secondary education and qualifications for university entrance under a given educational system.
*Notes: The details of required documents (e.g., academic credentials and examination results) and applicable requirements (e.g., specified course requirements) vary depending on the educational system; applicants are therefore advised to consult the most recent Admissions Guide for full details once it becomes available.
- Predicted IB Grades Report   ( .docx  /  .pages )
Applicants who are expected to complete IB Diploma Programme must submit a predicted grades report issued by their IB school. Upon request from the applicant, their school's IB coordinator is required to submit this report. If no standard format is available, the ICU-designated format may be used.
*Note: The report must include bonus points (out of 3) and total points (out of 45).

2. Upload the documents through the Submission Portal

  • To use the Submission Portal , counselors and recommenders must create an account in advance and inform the applicant of their login details (Login ID and registered email address).
  • After receiving an upload request from the applicant via the Online Application System (OAS), counselors and recommenders are able to upload the requested document(s) to the Submission Portal.
  • Counselors and recommenders must follow the instructions in the latest Admissions Guide and ensure that all required documents are submitted by a designated deadline.
  • Documents may be uploaded in advance (even before the application period starts) but must be received by the designated deadline. Late submissions will not be accepted for any reason.
    Use of an Official School Domain Email Address:
  • Counselors and recommenders must register their official school domain email address for the Submission Portal. If a personal email address such as Gmail, Yahoo, or similar is used, ICU will request verification by their affiliated institution.

    If Counselors or Recommenders are unable to use the portal due to technical difficulties...
  • If technical issues prevent portal submission, documents may be accepted via email attachment using an official school domain email address, or by postal mail.

  • Letters of recommendation submitted outside the Portal: Must be accompanied by a completed Information Sheet (Coversheet for a Letter of Recommendation) (ICU-designated form).

  • Email submission (only from an official school domain email address): Documents must be sent to admissions-center@icu.ac.jp from an official school domain email account. If a personal email account is used, ICU will request identity confirmation from the sender's institution.

  • Postal submission: Confidential documents (e.g., letters of recommendation, ICU School Reports) must be placed in a sealed envelope signed or stamped across the flap by a school official and sent to the address below.
